What happens to your spec book.
A spec book is a confidential business document. This page walks through what happens to yours from upload to deletion. The privacy policy has the legal wording.
The short version. SubPro reads your spec book for this job only. On a pilot, a construction PM goes through the flagged rows before anything is delivered. The finished set goes to your approved location. The spec book you upload is deleted when processing finishes. Nothing you send is used to train an AI model.
Before a file moves
We agree on how your data is handled before any real project file is used. If your project comes with an NDA, a security questionnaire or a required transfer method, we settle those at intake.
Only send files you're allowed to share. Project files often have confidential business information in them, and we talk about that at intake.
The chat on this website is separate from all of this. It can't accept project PDFs or files, and you should never paste a confidential spec book into it.
While the job runs
SubPro reads the spec book for this job only. It prepares the submittal log and puts together the available submittal packages. Each row shows the spec page it came from, or a flag when SubPro couldn't tie it to a page.
Rows that need a judgment call are flagged for a person. Everything SubPro drafts goes to your project team for review. It doesn't replace your PM, your PE, the design professional or document control.
We use service providers to host files, send email, schedule calls and run processing, including an AI processing service that processes the text of your spec book. The privacy policy names them, and each one handles information under its own privacy and security practices.
Where the deliverables land
The finished set goes to your local project folder or an approved handoff location, with an audit log of what was produced. We don't keep your spec book in a cloud document store for you.
After delivery
The spec book you upload is deleted when processing finishes. If a cloud job fails, the uploaded spec book is kept for 7 days so we can figure out what went wrong, then deleted. We don't keep your files as a document repository, a training set or a reusable project dataset.
What you send is never used for AI training, model improvement, customer examples or marketing material. We only use it to produce your deliverables.

What SubPro doesn't claim
Here are the limits up front, before your security review has to ask.
- We don't claim any certification. We use reasonable administrative, technical and organizational safeguards, and no website, network or transmission method can be guaranteed completely secure.
- No perfect extraction. Spec books contradict themselves. That's why rows show the page they came from, and the rows that need a judgment call are flagged for review.
- No spec book storage. SubPro isn't a cloud document store, and it doesn't keep your spec book on file after processing finishes.
- No use beyond your job. Your spec book doesn't become a customer example, a marketing claim or a training set.
Questions a security reviewer asks
Does SubPro store my spec books and project files?
No. SubPro prepares the log, puts together the submittal packages it can and sends the finished set to your approved location. The spec book you upload is deleted when processing finishes. If a cloud job fails, the spec book is kept for 7 days so we can figure out what went wrong, then deleted. We don't keep it as a document repository.
Will my spec book be used to train or improve a model?
No. We only use what you send to produce your deliverables. It never becomes training data, marketing material or an example shown to anyone.
Can SubPro sign an NDA or follow our security process?
Some projects come with their own rules, like an NDA, a security questionnaire or a required transfer method. We settle those at intake, before any production files move.
Can I upload project files in the website chat?
No. Project PDFs and files can't go through the website chat, and you should never paste a confidential spec book into it. Real project work goes through the pilot process, where we confirm data handling first.
