What happens to your spec book.
Spec books are confidential business documents. This page follows one from upload to deletion, in plain language. The privacy policy carries the legal wording.
The short version. SubPro is a workroom, not storage. It reads your spec book for this job only. A person reviews the flagged rows. The finished set lands in your approved location, and the submitted files are deleted after delivery. Nothing you send is used to train a model.
Before a file moves
Data-handling requirements are agreed before any real project file is used. If your project carries an NDA, a security questionnaire, or a required transfer method, those get settled at intake.
Only send files you are authorized to share. Project files often hold confidential business information, and the intake conversation is where that gets named.
The public website chat is separate from all of this. It cannot accept project PDFs or files, and a confidential spec book should never be pasted into it.
While the job runs
SubPro reads the spec book for this job only. It prepares the submittal log, assembles available submittal packages, and keeps the spec page and the review flag visible on every row.
Rows that need a judgment call are flagged for a person. Everything SubPro drafts goes to your project team for review. It is not a substitute for your PM, your PE, the design professional, or document control.
Service providers that host files, send email, schedule calls, or run processing help deliver the output. Each handles information under its own privacy and security practices. Payment for Log Build orders runs through Stripe, and card details never reach SubPro's systems.
Where the deliverables land
The finished set goes to your local project folder or an approved handoff location, with an audit log of what was produced. Nothing is parked in a cloud document store on your behalf.
For Log Build orders, the log, register, and flagged-rows files stay downloadable for 30 days, so the links in the delivery email keep working. Then they are purged. Order records stay on file as billing records: the email, the tier, the payment reference, and the timestamps.
After delivery
Files submitted for processing are deleted after delivery. SubPro does not keep them as a document repository, a training set, or a reusable project dataset.
What you send is never used for AI training, model improvement, customer examples, or marketing material. It exists to produce your deliverables and nothing else.

What SubPro does not claim
A security review should find the limits stated before it asks.
- No certification is claimed on this page. Reasonable administrative, technical, and organizational safeguards are used, and no website, network, or transmission method can be guaranteed completely secure.
- No perfect extraction. Spec books contradict themselves, which is why every row carries its page citation and a person reads the flagged ones.
- No document storage. SubPro is not a cloud document store and does not keep your spec book on file after the deliverables ship.
- No use beyond your job. Nothing derived from your spec book becomes a customer example, a marketing claim, or a dataset.

Does SubPro store my spec books and project files?
No. SubPro is a workroom, not storage. It prepares the log, assembles available submittal packages, delivers the finished set to your approved location, and deletes your submitted files. It is not a document repository.
Will my spec book be used to train or improve a model?

Can SubPro sign an NDA or follow our security process?
Projects sometimes arrive with their own rules: an NDA, a security questionnaire, a required transfer method. Those get settled at intake, before production files move.
Can I upload project files in the website chat?
No. Project PDFs and files cannot go through the public website chat, and a confidential spec book should never be pasted into it. Real project work happens through the pilot process, where data handling is confirmed first.
