These Terms of Use describe the rules for using sub-pro-ai.com, requesting a pilot fit call, communicating with SubPro LLC ("SubPro," "we," "us," or "our"), and using SubPro outputs unless a signed agreement or order form says otherwise. By using the website, submitting information, or requesting SubPro services, you agree to these terms on behalf of yourself and, if applicable, the company or organization you represent.

SubPro Services

SubPro helps construction teams turn project specification books into reviewable submittal logs, assembled package matches, review flags, exports, and chat context for the spec book or generated submittal log.

SubPro may provide public website content, pilot fit-call evaluations, pilot work, sample files, exports, and related communications. Specific deliverables, timing, file-handling requirements, and customer terms may be confirmed in writing before work begins.

Authority To Submit Materials

You must be at least 18 years old and authorized to use the website and request SubPro services. If you submit project files, company information, specifications, addenda, submittal logs, or other materials, you represent that you have the right to provide those materials to SubPro for the requested work.

Project Files And License To Process

You keep ownership of project files and materials you provide. You give SubPro a limited permission to access, use, process, copy, format, and analyze those materials only as needed to respond to your request, prepare pilot fit-call samples or customer outputs, provide support, and comply with legal obligations.

After processing, user data submitted for the SubPro workflow, including spec books and project files, is released in the approved handoff and deleted. SubPro does not retain those materials as a document repository, training set, or reusable project dataset, and does not use them for AI training or any unrelated purpose.

You should not submit files that you are not authorized to share. If a project requires an NDA, specific security review, approved transfer method, or other handling process, those requirements should be confirmed before production files are processed.

Review Required

SubPro output is prepared for review by your project team. It does not replace PM, PE, design professional, engineering, procurement, compliance, legal, or document-control review.

Submittal logs, package matches, source references, review flags, AI chat responses, and exports may contain errors, omissions, outdated references, incomplete matches, or interpretations that require human verification. You are responsible for reviewing and approving all output before relying on it, submitting it, or handing it off to another system or project stakeholder.

AI And Automation

SubPro uses automation and AI-assisted processing to prepare requested SubPro outputs, keep review context visible, assemble available package matches, flag items for human review, and support chat over project documents. AI-assisted output is not guaranteed to be complete, correct, current, code-compliant, or suitable for every project condition.

You should not treat AI chat responses as professional advice or final project direction. If a requirement is important, verify it against the source specification, contract documents, manufacturer data, and your project team's review process.

Pilot Fit Calls

Pilot fit calls and samples are offered to evaluate fit before project files are used for customer work. Scope, timing, eligibility, file-handling expectations, and the exact sample output are confirmed during intake. SubPro may decline, limit, pause, or stop a sample if the project is not a fit, files cannot be processed reasonably, required permissions are missing, or the request creates security, legal, operational, or abuse concerns.

Pilot Availability And Customer Terms

Pilots are currently open. Scope, timing, deliverables, file handling, fees if applicable, and payment terms are confirmed in writing before work begins.

Unless a written agreement or order form says otherwise, fees are generally non-refundable except where required by law or stated in a written agreement. Questions about a pilot, customer terms, or cancellation of planned work can be sent to pilots@sub-pro-ai.com.

Paid Log Build Orders

The Log Build is a one-time paid service purchased online: one uploaded specification book per order, within the published page and file-size limits, returned as a drafted submittal log, register, and flagged-rows report. Payment is processed by Stripe; SubPro does not receive or store card details. The email address used at checkout identifies the order.

By uploading a document you confirm you have the right to submit it for processing. Uploaded books are processed for the order, then deleted after delivery; finished files remain downloadable for 30 days from delivery.

The Draft Build tier is delivered as a draft for your review: automated extraction with a light quality pass and a report of flagged rows. The Reviewed Build tier adds a human review of every row before delivery. Neither tier replaces review by your project team, and delivered output does not constitute professional certification of the underlying project documents.

Refunds: an order may be refunded on request at any time before delivery. After delivery, refunds are at SubPro's discretion. If SubPro misses the delivery estimate provided with the order for reasons within its control, the order is refunded in full and the deliverables are still completed and provided. Refund requests go to pilots@sub-pro-ai.com from the email used at checkout.

Acceptable Use

You agree not to misuse the website, forms, sample files, outputs, or SubPro services. You may not submit malicious files, attempt unauthorized access, interfere with service operation, scrape or reverse engineer protected parts of the service, remove proprietary notices, use SubPro to violate law or contracts, or submit confidential materials without authorization.

Ownership

SubPro and its licensors own the website, branding, software, workflows, templates, models, prompts, designs, documentation, and other technology used to provide the service. SubPro technology is protected by United States copyright and patent law, including pending applications. These terms do not transfer ownership of SubPro technology to you.

Subject to any written customer terms and these terms, SubPro grants you permission to use project-specific outputs delivered to you for your internal project review, coordination, handoff, and submittal workflow. You may not resell SubPro technology, templates, systems, or service methods as a competing product or service.

Feedback

If you provide ideas, requests, comments, corrections, or suggestions, you allow SubPro to use that feedback without restriction or compensation, provided SubPro does not disclose your confidential project files or identify you publicly without approval.

Manufacturer Product Data Library

The public product data search provides manufacturer-authored documents for construction submittal use. Documents remain the property of their respective manufacturers; SubPro verifies, organizes, and attributes them and claims no authorship or endorsement. Manufacturers may request removal of their documents at any time via pilots@sub-pro-ai.com, and such requests are honored promptly. Downloads are rate-limited; bulk copying of the library is not permitted.

Third-Party Tools And Handoffs

SubPro may reference, export to, or prepare handoffs for tools such as Excel, email, file-storage systems, form providers, analytics tools, cloud services, or AI processing providers. Third-party services are governed by their own terms and privacy practices. SubPro is not responsible for third-party services it does not control.

Privacy

SubPro's collection and use of personal information and project-file data is described in the Privacy Policy. The Privacy Policy is part of these terms.

Disclaimers

The website, sample files, pilot fit-call outputs, customer outputs, and SubPro services are provided on an as-is and as-available basis to the fullest extent permitted by law. SubPro disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, and error-free operation.

SubPro does not guarantee that every submittal requirement will be found, every source reference will be correct, every manufacturer package will match, every export will fit your downstream system, or every AI response will be accurate. Your project team remains responsible for final review and use.

Limitation Of Liability

To the fullest extent permitted by law, SubPro will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, business interruption, project delay, bid impact, or downstream document-control issues arising from use of the website, outputs, or services.

To the fullest extent permitted by law, SubPro's total liability for any claim related to the website, outputs, or services will not exceed the amount you paid to SubPro for the service giving rise to the claim during the three months before the event that caused the claim. If you have not paid SubPro, the total liability limit is $100.

Indemnity

You agree to defend, indemnify, and hold SubPro harmless from claims, losses, liabilities, damages, costs, and expenses arising from your misuse of the website or services, unauthorized submission of project materials, violation of these terms, violation of law, or use of SubPro output without required review.

Suspension And Termination

SubPro may suspend or terminate access to the website, pilot fit-call process, or services if you violate these terms, create security or abuse concerns, fail to pay amounts due, submit unauthorized materials, or use the service in a way that creates legal, operational, or reputational risk.

Governing Law

These Terms are governed by the laws of the State of Montana, without regard to its conflict-of-laws rules.

Changes To These Terms

SubPro may update these terms from time to time. The updated version will be posted on this page with a revised date. Continued use of the website or services after updated terms are posted means you accept the updated terms, except where a signed agreement says otherwise.
